A simple invoice register makes reconciliation, reporting, and follow-up less error-prone.
Create one controlled register
Give each invoice a unique reference, date, issuer or recipient, currency, total, and document location.
Keep original evidence
Store the unmodified source file and track corrections using separate entries. Avoid overwriting invoices when records are revised.
Group without guessing
Separate issued invoices, supplier invoices, credit notes, and documents awaiting review. Flag incomplete information for a qualified reviewer.
Link payments carefully
Use account, amount, currency, date, and counterparty details when associating a payment with an invoice. Do not treat every deposit as a sale.
Close the loop
Assign owners to missing documents and outstanding exceptions, and keep a record of resolution decisions.
